Department Budget Spreadsheet

Each department participating in the Student Employment Program will receive an annual, fiscal year budget for the student labor dollars that have been allocated.  The department may alter the number of hours within the fiscal year for each position, as long as the total amount remains the same as the original  allocation.

Budget Spreadsheet Description

A Student Labor Budget Allocation spreadsheet is completed for each account number.  A department that has two different accounts will receive two separate spreadsheets.  The spreadsheet will contain the account number, department name,  account custodian,  and student employment supervisor at the top.  Each position that exists within the department is listed under the job title.  The wage rate is listed for each position.  Student labor budgets are allocated in hours per week.  The spreadsheet is set up to separate trimester and intercession weeks to assist in the breakdown of the budget.  For instance,  the summer trimester for the 2008-2009 fiscal year consist of July 1, 2008 through August 18, 2008, for a total of 7 weeks.  If the department has been allocated hours for this period of time it will be indicated by the number of hours in the box directly below the indicated period.  The overall funded amount for each position is listed in the far right hand column of the graph and the total of all positions is the total dollars allocated at the bottom right hand box on the graph.   The department may choose to fluctuate the hours within a position or between positions as long as the total dollars allocated remains the same.  If a department chooses to transfer funding from one position number to another within the same account they will need to notify the Student Employment Office to complete this transfer.

Budget Spreadsheet Sample

The sample budget spreadsheet is for account number 123456 for the Student Employment Department.  The account custodian is Bobby Bearcat, he will be the one who will receive the greenbar reports and correspondence regarding the account.  Jane Doe is the student employment supervisor for the department.  She is the one responsible for the application, interviewing, hiring , monitoring and training of the student employee.  The department has an Office Assistant position.  The wage rate is $6.65 an hour.  The department has been allocated 20 hours of student labor for the fall and spring trimester or a total of 32 weeks.  The total amount funded for the Office Assistant position is $4,256.00 and the total funding for the Student Employment Department is $4,320.00 which includes $64.00 reserve for anticipated CPI increase.

Greenbar Report (FBM092)

Each department receives an individual greenbar report for the accounts within the department.  Student labor dollars are reflected on the report with the object code 1501, 1502, and 1503.  The 1501 object code reflects the total regular student labor dollars liquidated for the account.  The 1502 and 1503 object codes reflect the total of the federal work study student.
