FAQ's

The room/location I want is not available?

There are several reasons for this; the most common is that the room/location is already booked.

Another reason could be that the attendance is more than the room/location’s capacity.

Note: When entering the attendance please enter a close approximate count. If you are trying to book multiple room/locations for a large event, enter 1 for the attendance and write the actual attendance in the NOTES section.

Why should I make my request using Express Request?

Requests made using Express Request will be given first priority as groups off campus do not have access to the Express Request feature. The forms will be obsolete and not accepted at all within a few years.

I am trying to plan an event for my organization; Where do I begin?

There are several steps to planning an event.  It would be best to consult the Event Planning Guide View Word Document.  The Event Planning Guide has several useful tips and hints for planning a successful event, including an event planning checklist.  The Student Union Event Coordinator and the Station Complex Director are also excellent resources for planning your event.

Why do I have to re-enter my information every time I make a request?

If you have used the Express Request function once, your information has been saved based on the organization/department that you belong to. Select your organization/department from the CLIENT drop down menu on the first page of Express Request. Next choose your name from the CONTACT drop down menu.

Why do my requests for classrooms get rejected?

Since classroom requests will only be accepted after the first day of classes, all requests will be rejected until that time. Requests will not be held.

How do I request Charles Johnson or the Performing Arts Center? Sports Facilities?

Contact the Facilities Manager at 562-1320 for the PAC and CJT or the Music Department Secretary for CJT at 562-1326.

For all sports facilities contact the Director of Recreation Sports at 562-1725.

How do I request multiple/repetitive reservations?

There are two ways to make a repetitive request: The first is to choose each date on the calendar under the DATE AND TIME page. Unfortunately, if there is one conflict in any room that room because unavailable for all the dates.

The second way is to write in the NOTES section the frequency of the activity or event, and then choose the first date.

How come I cannot just call and make a reservation?

Due to the high volume of requests that the Student Union and the Station receive we cannot take phone calls for events and activities.

I want a room/location for tomorrow, why can I not make a request?

Express Request as well as the request forms will not accept a request with less than 2 business days. If you need a room/location for today or tomorrow you will need to go to the building and the day of and request a room with the Student Union Event Coordinator or the Station Complex Director. If space is available you will be given what ever is available in the condition of the room.

How do I update my room/location reservation?

The preferred method is to fill out a Student Union or Station Reservation Change/Update Form and send the completed form to the Student Union Event Coordinator or Station Complex Director.

Who should I contact with questions?

Contact the Student Union Event Coordinator for Student Union reservations and questions, outdoor reservations (excluding College Pavilion and Sports facilities) and questions regarding Express Request and Scheduler Plus ii.

Contact the Station Complex Director regarding Station questions and reservations.

Contact the Auxiliary Services Specialist regarding classroom reservations.
